1. About this policy

SoccerChoice helps parents and carers find soccer training that may suit their child’s location, age range, playing level and training needs.

SoccerChoice is operated by Civic Service Partners, ABN 53 545 406 106.

This Privacy Policy explains how we collect, use, hold and disclose personal information when you use SoccerChoice, submit an enquiry or communicate with us.

We are committed to handling personal information responsibly and in accordance with applicable Australian privacy law. We also aim to follow the principles of transparent and proportionate information handling reflected in the Australian Privacy Principles.

2. SoccerChoice is for parents and carers

SoccerChoice is designed for parents and carers seeking soccer training for a child.

We deliberately do not ask for the child’s:

  • full name
  • exact date of birth
  • school
  • photograph
  • medical or health information.

Instead, we collect only limited information needed to understand the training being sought.

Children should not submit enquiries directly to SoccerChoice.

If we become aware that a child has directly provided personal contact information without appropriate involvement of a parent or carer, we will take reasonable steps to address or remove that information where appropriate.

3. Information we collect

When you submit an enquiry, we may collect information about you such as:

  • first name
  • email address
  • telephone number
  • information you provide when communicating with us.

We may also collect information about the training request, including:

  • postcode or general location
  • the child’s age range
  • general playing level
  • type of soccer training being sought
  • answers or selections made through the SoccerChoice matching process.

We use age ranges rather than an exact date of birth.

Our systems may also process limited technical information required to operate and secure the service, such as IP address or a derived security identifier, request timestamps, browser information and information used to prevent spam or misuse.

Please do not provide sensitive information such as medical information, disability information or other health information through the SoccerChoice enquiry form.

4. Why we collect and use information

We collect and use information to:

  • understand the training you are looking for
  • determine your approximate location
  • identify potentially suitable local training providers
  • assess potential matches against age range, playing level, training type and geography
  • manage and follow up your enquiry
  • contact you about your enquiry
  • allow an appropriate participating provider to contact you
  • understand whether referrals are useful
  • improve SoccerChoice and its geographic coverage
  • respond to questions or complaints
  • prevent spam, fraud, abuse and security threats
  • maintain appropriate business records
  • comply with legal obligations.

SoccerChoice may use automated rules to assist with matching. Some enquiries may also require manual review.

A matching result does not guarantee that a provider has capacity, will accept a participant or will ultimately be suitable for your child.

5. Sharing your enquiry with a provider

A core purpose of SoccerChoice is helping parents connect with potentially suitable soccer training providers.

When you submit an enquiry, you agree that SoccerChoice may share relevant information from your enquiry with a suitable participating soccer training provider so that the provider can contact you about relevant programs.

Information shared may include:

  • your first name
  • your contact details
  • postcode or general location
  • child’s age range
  • playing level
  • training type requested
  • other information reasonably necessary to understand the enquiry.

We seek to share only the information reasonably necessary for the provider to respond.

Submitting an enquiry does not mean that your information is distributed to every provider known to SoccerChoice.

6. Prospective providers and unmet demand

Sometimes we may receive enquiries in an area where we do not yet have a suitable participating provider.

We may use aggregated or de-identified information to approach potential providers. For example, we might tell a provider that several parents have recently sought a particular kind of training in an area.

We do not provide identifiable parent contact details to a prospective provider simply to persuade that provider to join SoccerChoice.

7. SoccerChoice is free for parents

Parents are not charged to submit an enquiry through SoccerChoice.

Participating providers may pay SoccerChoice to receive enquiries or participate in the service.

We do not sell databases or mailing lists of parent information for unrelated marketing or advertising purposes.

Where information is provided to a participating provider, it is provided for the purpose explained when the parent submits the enquiry: enabling an appropriate provider to respond to that request.

8. Independent providers

Soccer training providers participating in SoccerChoice are independent businesses or organisations.

Once information has been appropriately provided to a provider, that provider is responsible for its own handling of that information and for complying with any privacy obligations that apply to it.

If you decide to proceed with a provider, subsequent registration, payment, enrolment and collection of additional information occurs directly between you and that provider.

You should review a provider’s own privacy information where appropriate.

9. Technology and service providers

We use service providers to operate SoccerChoice. These may include providers of:

  • website and application hosting
  • database and cloud infrastructure
  • email and communications
  • security and abuse prevention
  • software development and maintenance
  • business administration.

These providers may process personal information where reasonably necessary to provide their services to us.

Our primary SoccerChoice application database is configured to be hosted in Sydney, Australia.

10. Overseas processing

Some technology providers used by SoccerChoice are global organisations.

As a result, technical information or personal information may in some circumstances be processed, supported or accessible outside Australia, including in the United States or other countries in which those providers or their authorised subprocessors operate.

Where applicable, we take reasonable steps appropriate to the circumstances to protect personal information handled through service providers.

11. Security

We take reasonable steps to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure.

Measures may include:

  • authenticated administrative access
  • restricted database permissions
  • access controls
  • encrypted network connections
  • separation of public and administrative systems
  • data minimisation
  • rate limiting and abuse controls
  • limiting access to people who need information to operate the service.

No internet or information-storage system can be guaranteed to be completely secure.

If a data breach occurs, we will investigate it and comply with applicable notification obligations.

12. Retention

We retain personal information only for as long as reasonably necessary for purposes such as:

  • managing and following up enquiries
  • maintaining appropriate business records
  • responding to disputes or complaints
  • security and fraud prevention
  • meeting legal obligations.

When identifiable information is no longer reasonably required, we will take reasonable steps to delete or de-identify it where appropriate.

We may retain genuinely aggregated or de-identified information for longer to understand demand patterns and improve SoccerChoice.

13. Direct marketing

Submitting an enquiry allows SoccerChoice and an appropriately selected provider to communicate with you about that enquiry.

We will not use your information for unrelated direct marketing unless you have consented or we are otherwise permitted to do so.

We do not disclose parent information to unrelated advertisers for their own marketing.

14. Cookies and technical technologies

SoccerChoice may use cookies or similar technologies that are reasonably necessary to operate and secure the website.

We do not currently use the SoccerChoice enquiry process to build advertising profiles about parents or children.

If we later introduce material non-essential analytics or advertising technology, we will update our disclosures and controls as appropriate.

15. Access and correction

You may ask us to:

  • tell you what personal information we hold about you
  • provide access to it
  • correct information that is inaccurate, incomplete or out of date
  • delete information where it is no longer reasonably required and there is no lawful reason for us to retain it.

We will respond within a reasonable period.

If you have concerns about how SoccerChoice has handled your information, contact:

Please provide enough information for us to understand the issue.

We will consider the complaint, investigate where appropriate and respond within a reasonable period.

Where the Privacy Act applies, you may also have the right to make a complaint to the Office of the Australian Information Commissioner.

17. Third-party websites

SoccerChoice may link to provider websites or other third-party services.

Those organisations control their own websites and privacy practices. Their handling of your information is governed by their own policies and applicable law.

18. Changes to this policy

We may update this Privacy Policy when our service, technology, information-handling practices or legal obligations change.

The current version will be published on the SoccerChoice website with its last-updated date.
